Project Admin Services 
Construction 

Project Setup and Management: 

  • Utilize Procore and BUILDR to set up new projects and manage them through completion.

  • Manage project team directories within Procore, including trades, owners, architects, etc.

  • Create standardized workflow templates for submittals 

  • Permit Expediting – Upon Request

  • Help you manage projects from RFP to Bid, Award all the way to close outs

  • Insurance and Bond Management: 

  • Proactively review and manage insurance and bond requirements for all projects.

  • Request and verify insurance certificates and coverage limits for General Contractors and Subcontractors.

  • Verify Worker's Compensation coverage through the NYS WC Website.

  • Maintain a daily log of insurance and bond status within Airtable or any data storage platform used by your company.

  • Review the bonds for Contract value, proper project name, surety status, and supporting documents before forwarding them to the Attorney.

  • Secure required approvals from NYSIR/Broker for insurance packages.

  • Collect Indemnification forms and P&P bonds from Subcontractors, ensuring all necessary documentation is complete.

  • Facilitate bond approval by the Attorney and communicate the status back to contractors.

  • Communication and Documentation:

  • Track and respond efficiently to all project communications.  

  • Maintain accurate and up-to-date project documentation.

  • Draft various project documents including award letters, 

  • Relationship Building: Foster strong working relationships with architects, engineers, contractors, and other project stakeholders, acting as their advocate.

  • Contracts & Amendments:

  • Review the Owner's Contract to ensure the agreed-upon corrections are incorporated properly.

  • Edit AIA Documents

  • Have Contracts/Amendments signed by company principal and forwarded to the Owner and/or Attorney to be executed.

  • RFP's

  • Review & Structure the RFP based on the information requested.

  • Bind the RFP and prepare it for delivery on the bid date if needed.
